Material Data Must Connect to Equipment

A technically correct spare part loses value when its description, manufacturer and part number, UoM or equipment linkage is incomplete.

01Business problem

A material record can be complete on its own terms and still be of little use. If it is not connected to the equipment it serves, a planner cannot find it through the BOM, a buyer cannot be sure it is the right part, and nobody can tell how many installed units depend on it.

The consequences arrive later and look like other problems: a duplicate record created because the existing one was not found, the wrong part bought from a vague description, a maintenance job that waits because the spare was on the shelf under another name.

02Core concept

Material identity is more than a description. It typically includes:

  • manufacturer and manufacturer part number;
  • a standard noun and modifier, with the key technical attributes;
  • a unit of measure that is consistent across purchase, storage and issue;
  • the equipment relationship and the position in the BOM;
  • the documentation that defines the item: datasheets, drawings, OEM manuals.

The equipment hierarchy gives these attributes their meaning: plant, system, equipment, BOM, material, manufacturer, part number. A material without that chain is an item in a catalogue. With it, it is a spare.

03Decision rule

Create or change a material record from the equipment and its documentation, never from a description alone. Search for an existing record before creating a new one, and link every spare to the BOM of the equipment it serves.

A record is good enough when a planner, a buyer and a storekeeper would identify the same item without guessing.

06Worked example

Illustrative example

From an OEM list to a linked spare

A new compressor arrives with an OEM spare-parts list.

  1. Equipment: the compressor tag exists in the CMMS with its model and location.
  2. OEM document: the list gives a bearing by manufacturer part number.
  3. Spare identity: manufacturer, part number and key dimensions are recorded.
  4. Duplicate search: a search by part number finds an existing record with a vague description and the same part number.
  5. Material record: the existing record is corrected and enriched instead of a second one being created.
  6. BOM link: the record is linked to the compressor BOM. Planners now find it through the equipment, and the installed population includes the new unit.

07Professional judgement

A material record is only as useful as its connection to the equipment.

The record decides whether the right part is bought, received, found and installed. A wrong unit of measure or a missing BOM link looks small in a database and becomes very visible on the day the equipment fails.

The judgement is in deciding what is good enough. A record does not need every possible attribute. It needs the ones that make the item unambiguous and connect it to the equipment it serves.

    Stock and demand split across two records.

  • The equipment exists in the CMMS with tag, model and location.
  • OEM documentation is the source of the spare identity.
  • Manufacturer and part number are complete and exact.
  • Existing records are searched before a new one is created.
  • The unit of measure is consistent across documents.
  • The material is linked to the BOM of every equipment item it serves.
